Kennedys is seeking an experienced Legal Secretary to join our small, collaborative team in Perth on a full-time or part-time basis. In this role, you will provide comprehensive and pro-active legal secretarial and executive assistant support to Jonathan Wyatt, our Australian Managing Partner.
Team
Kennedys has been operating in Australia since 2006 and currently employs around 250 people locally, with a global workforce of approximately 2,900. We manage both contentious and non-contentious matters across a wide range of industries, providing claim and coverage advice to insurers and insureds across all lines of business worldwide.
Key Responsibilities
EA Responsibilities:
- Act as the confidential point of contact for the Managing Partner, managing calls, emails, and urgent enquiries.
- Manage the diary, schedule meetings, draft agendas, take minutes, and prompt the Managing Partner on key tasks and deadlines.
- Compile and deliver timely, brand-aligned reports for the Board and Management.
- Organise travel arrangements including flights, accommodation, meetings, and transport according to firm policy.
- Support meetings by preparing agendas, conducting research, providing client activity reports, and coordinating with Business Development and partners.
Legal Secretary Responsibilities:
- Manage and prepare legal documents, court forms, and correspondence, including proofreading and formatting, under lawyer supervision.
- Liaise with courts, counsel, clients, and third parties; handle filing, e-filing, and registry duties in line with quality procedures.
- Oversee administrative tasks such as mailbox management, diary scheduling, travel arrangements, and client billing, including invoice and expense processing.
- Maintain accurate records in document management systems and assist with business development and client reporting data entry.
- Support team workflow by tracking delegated work, managing external appointments, and escalating matters that fall outside the scope of responsibility.
About you
- Significant experience as a Legal Secretary or Executive Assistant, with a proven ability to support at Partner level.
- Proficiency with Elite 3E and iManage is preferred, but not mandatory.
- Skilled in managing correspondence and transcribing dictation accurately.
- Well-organised and methodical approach to work.
- Strong communication skills with a natural ability to build and maintain internal and external relationships.
